Board of Directors:
The Board of Directors as a whole has the responsibility to set policy, ensure that the fiscal and legal responsibilities of A Musical Offering, Inc. are met (especially those regarding its incorporation and non-profit/501(c)3 status), oversee the activities of the Action Team and ensure that the Corporation is fulfilling its mission and the vision of the Artistic Director(s). The Board shall be governed by its Policies and Procedures, the By-Laws of A Musical Offering, Inc. and all relevant local, state and federal statutes.
The Chairperson shall preside at all meetings of the Board of Directors and perform such other duties as may be prescribed by the Board of Directors from time to time. He or she shall also be a member ex-officio of all committees of the Board of Directors.
The Vice-Chairperson shall fulfill the role of the Chair in the Chair’s absence. The Board Vice-Chairperson will also serve as Recording Secretary for the Board, keeping of the minutes of the meetings of the Board of Directors, and shall be responsible for supervising all notices that are duly given or required.
The Treasurer shall be responsible for all funds and securities of A Musical Offering, Inc., keeping or causing to be kept complete and accurate accounts of receipts and disbursements of the corporation, and depositing all monies and other valuable property of the corporation in the name and to the credit of A Musical Offering, Inc. The Treasurer, or other authorized Director, is authorized to sign checks, drafts or other orders for payment of money on behalf of A Musical Offering, Inc. Whenever required by the Board of Directors, the Treasurer shall render a statement of accounts. The Treasurer shall at all reasonable times exhibit the books and accounts to any director of A Musical Offering, Inc. The Treasurer will also serve as a liaison between the Board and any financial professionals hired by the Board of Directors to reconcile accounts and prepare any tax or other financial reporting documents.
The Action Team is responsible for the execution of all events and programs of A Musical Offering, Inc. and is supervised by the Board of Directors. The Action Team is divided into four areas as detailed below.
Concert Series Team:
The Concert Series Team will be responsible for reserving venues, arranging for set-up and break-down of furniture and equipment as required for each Concert, making arrangements for guest artist(s) transportation and lodging if necessary, and arranging for catering and food service for pre- or post-event receptions. Team Leader may appoint co-leaders as necessary, e.g. catering co-leader, set-up/break-down co-leader, etc. Team Leader is responsible for recruiting volunteers as necessary to accomplish objectives for each event. Team Leader shall report to the Chair or Vice-Chair of the Board of Directors.
Requires close communication with Artistic director(s) regarding choice and availability of venues for selected dates, furniture and equipment necessary (chairs, music stands, etc).
Communication with Board Chair or Vice-Chair and Treasurer regarding payments for venues, guest artists, travel/lodging expenses, caterers, etc.
Summer Music Camp Team:
The Summer Music Camp Team will be responsible for procuring instruments, ensuring teachers and assistants have had the necessary background check and child-protection training, arranging for refreshments, set-up and break-down of furniture and equipment in the camp space for each session, ensuring the camp space is clean after each session, and assisting with student check-in including having prepared name tags ready for each student.
Requires close communication with Artistic Director regarding necessary space, furniture and equipment necessary (chairs, music stands, instruments, etc.). Communication with Board Chair or Vice-Chair and Treasurer regarding payments for instructors, guest artists, refunds to parents of students who withdraw, etc.
The Communications Team will be responsible for all broad communications and advertising A Musical Offering, Inc. programs and events. This will include press releases to local media, email communiques to subscribers/constituents, social media postings, photography during programs and events for publicity purposes. Close communication with Artistic Directors, Concert Series Team Leader, Summer Camp Team Leader, and Board of Directors regarding message details.
All members of the Board shall serve as the Fundraising Team. The Fundraising Team will be responsible for all fundraising activities to benefit A Musical Offering, Inc. Activities may include, but are not limited to, fundraising events in Gainesville, online funds solicitation through internet sites such as GoFundMe, IndieGoGo, etc. and direct mail/email appeals. Board officers may recruit interns to assist with activities such as grant-writing, set -up and breakdown of fundraising venues, and other duties as necessary. The Communications Team will assist the Fundraising Team to promote all fundraising activities.
